We do not wish to see you cancel your reservation, but we understand that there may be factors that necessitate your cancellation.
Cancellation Policy ("Academic Year" includes the period from September 1 to August 31):
For bookings made for the next academic year starting from September 1 to August 31, during the period from October 1 to July 31, you may cancel your reservation within a 48-hour "cooling-off period" after acceptance and completion of the online lease either in writing or by email.
For bookings made for the next academic year after August 1, there is no cooling-off period, and you cannot cancel your reservation.
For bookings made during the current academic year (September 1 to August 31), once you have accepted the lease (manually or digitally), you cannot cancel your reservation.
Please note that once you have received the keys and completed check-in, you cannot cancel your reservation, and you will be legally bound by the accepted lease terms and conditions and responsible for paying all applicable fees.
If you do need to cancel your reservation, you must meet the requirements of our "No place, No Pay" policy.
In the case of a paid deposit, if the tenant fails to manually or digitally complete the booking or refuses the lease, we reserve the right to retain the deposit in place of any resulting costs.
Once a booking is made and the lease agreement is completed, you will be legally bound by the terms specified in the agreement.
After the cooling-off period:
If the 48-hour cooling-off period has elapsed, in certain circumstances, you may cancel your reservation if you meet the necessary requirements. These circumstances include:
No place, No Pay policy
If you fail to meet the entry grades required by the university/college or fail the end-of-year exams, and the university/college withdraws your admission offer to your preferred/current university/college, you may be eligible to terminate the lease.
If you are a prospective first-year undergraduate student but choose to study at another university in another city due to better-than-expected grades, you may also be eligible to terminate this agreement.
To apply for termination of this agreement under the above circumstances, you need to provide us with copies of the following documents:
A written rejection letter from the university/college of your choice or a UCAS status screenshot, proving that you did not achieve the required grades; or
A copy of the new university acceptance certificate adjusted by UCAS.
We must receive these documents within 7 calendar days of the date your grades are published or before September 1 (whichever is earlier). Please email the documents to info@downingstudents.com. Upon receipt of the required documents, we will verify them, and if satisfied, we will cancel your agreement and fully refund your holding fee.
No Visa
If you are unable to obtain a visa to study at a UK university (on-campus or online distance learning) and can provide written evidence of your visa and university application being rejected, we will terminate your tenancy agreement and fully refund your deposit.
You must provide evidence within one week of notifying us that you are unable to obtain a visa.
If the lease has already started but you have not yet collected the keys, we will charge you for the period from the "lease start date" until you provide evidence that you did not obtain a visa and/or did not study at a UK university.
If the lease has already started, and you have collected the keys before your visa application is rejected, you will be responsible for the rent for the duration of the contract.
