Refund Policy
Cancellation Policy 1. Cancellation During Cooling-off Period: If you booked before August 1st (lease sent before August 1st), and choose to cancel, you have 7 calendar days from signing the AST to cancel; If you choose to cancel after August 1st (inclusive), you have 24 hours from signing the AST to cancel all leases up to September 30th (inclusive) (leases issued from August 1st); If you book less than 7 calendar days (if booked after August 1st, then 24 calendar days) before the AST start date, you can cancel the booking one day before the lease start date without penalty; You can request cancellation by email, and we'll send you a "Cancellation Pack" for more details or contact your accommodation team directly; If you cancel the lease within the 24-hour cooling-off period, the apartment reserves the right to retain the deposit (or part of it) to cover incurred costs. 2. Cancellation After Cooling-off Period: Any requests outside the above deadlines will require you to find a student to replace you, who must complete the AST and pay the deposit through StuRents. Once they pass the 7 days/24-hour (if applicable) cooling-off period, you will be released from the lease, known as lease takeover. For more information, guidance, or assistance regarding lease takeover, please contact your onsite team to obtain the "Cancellation Pack". 3. Cancellation After Check-In: If you are considering leaving accommodation, you must contact the local accommodation manager. If you decide to leave within the contract period, subject to certain conditions, the landlord may agree to terminate your contract: • You find a suitable replacement (a full-time student at a local university or college) to sign a new lease agreement for your room for the remaining period of the contract. • The new tenant must sign an AST with the apartment, provide the necessary documents, and, where relevant, provide an appropriate UK guarantor. • No processing of end-of-term refunds until the new tenant taking over the contract signs the AST, pays, and moves into the accommodation. Please note that charges will be applied based on the duration of your occupancy and any rent difference between you and the replacement student (if applicable). If you fail to find someone to take over your lease, you and your guarantor (if applicable) will be responsible for paying the full rent until the end of your contract term; Outgoing residents are responsible for providing lease takeover services for incoming tenants. During the transition from outgoing to incoming residents, the room needs to be professionally cleaned, and this cost will be deducted from the outgoing resident's deposit; If the apartment or its representative can assist with lease transfer (subject to property availability), room cleaning fees, marketing fees, and/or commissions will be deducted from the outgoing tenant's deposit or rent refund (if applicable); For more information, guidance, or assistance regarding lease takeover, please contact your onsite team to obtain the "Cancellation Pack". 4. Apartment or Landlord Cancellation of Booking: Our terms and conditions require you to sign the AST within the specified deadline on the electronic AST. If you and your guarantor (if applicable) fail to sign your AST within this deadline, your AST will be automatically canceled. If your AST is fully signed and the apartment is unable to provide accommodation for any reason, we will contact you as soon as possible to explain the reasons or provide alternative solutions. If we are unable to provide an alternative or the alternative is not suitable, we will refund all payments made to the apartment. 5. First-Year Students Without University Admission: "No Place, No Stay" This clause applies only to first-year undergraduate students. If you are a prospective first-year undergraduate student and your admission offer from your preferred university/higher education institution is revoked due to not meeting the required entry grades, you may be eligible for a deposit refund. If you choose to study at another university in the city due to exceeding expected grades, and there are no apartments available in that city, you may also be eligible for cancellation under "No Place, No Stay". To cancel a booking under "No Place, No Stay", you must provide: (a) A copy of the written rejection letter from your chosen university/college or UCAS confirming you did not meet the required grades for admission; (b) A copy of the adjusted UCAS confirmation of new university admission (the university you are continuing to study at). This information must be sent directly to your accommodation management team within 5 calendar days from the date of the grade release. Upon receipt of the required documents, the agreement will be canceled, and the deposit refunded. If a student withdraws voluntarily, "No Place, No Stay" does not apply; refer to section 2, "Cancellation After Cooling-off Period". Please note that if the apartment property is located in the city of your new university, the above provisions do not apply - you will (subject to availability) be provided a room in an alternative property and will need to sign a replacement AST accommodation with the new university. If there are no vacancies, the AST in your original property will be canceled. Please contact the apartment to transfer your lease or inquire about vacancies in your alternative city location. 6. Visa: If your visa is refused, you must contact your accommodation team within 5 days of the refusal and provide evidence of refusal to process your cancellation application and refund the deposit. 7. Room Moves: If you wish to change rooms, please contact the accommodation team to discuss your request. If you are upgrading to a higher standard room, you must agree to any rent increase before processing the room move. All room moves are subject to availability. Please note, all rents must be paid before transferring rooms. If your room is not ready or available at the start of the lease agreement, the apartment will provide you with an alternative room (preferably within the same accommodation, but the apartment reserves the right to provide alternative accommodation in emergency situations). If, during or before your lease, your residence becomes unsuitable for occupancy due to an incident (including but not limited to fire, flood, or loss of essential services), we will provide alternative accommodation in the local area covered by the building insurance (subject to availability, so facilities may not be the same as during the incident and may not be available until after your lease end date if your lease ends before you return to accommodation). This temporary accommodation does not affect your legal obligation to pay rent under section 3 of the lease agreement.
